RBS Organizations – How to plan your program, step-by-step

All RBS-affiliated organizations are expected to participate in Rutgers Day by creating a program that represents the mission of each respective organization. Your participation is crucial in offering our community a positive experience with learning about RBS. Each organization should create a program that is interactive, family/kid-friendly, and informative. Programs may give away free items such as candy to their participants but it is not a requirement. Keep in mind that Rutgers Day is all about spreading the knowledge that you wish to share and is not focused on the distribution of free material or items to our visitors.

1. Brainstorm Your Program

When planning your organization’s program, please keep in mind that your program must directly relate to or showcase the mission of your organization. The purpose of Rutgers Day is to share with the community all about your organization, not to just play games and win a prize. We suggest that you take the time to brainstorm ideas with members of your organization. Here are a few examples:

  • If your organization is focused on supply chain, you may introduce the supply chain as a network of people and activities that help move a product from start to consumption by the end user. You can perhaps create a demonstration, chart, 3-D diagram or map that integrates the flow of materials and the people involved. You may even create an interactive game that incorporates the supply chain cycle. Be passionate and try to keep it interesting. Use your creativity! Perhaps offer the end product (a candy bar) after demonstrating how the candy materials were supplied, manufactured, distributed and finally consumed.
  • If your program is focused on marketing, choose a product to sell (real or fictional) and either come up with a jingle or key phrase to market the product or make a commercial and ask the viewers what they would change to make it more convincing. Make it fun and interactive and perhaps give away a small participation prize.
  • If you are in finance, offer a game on how to manage budgets or how money works. One year, a virtual trading pit was imitated using a small group of traders making chaos as they bought or sold stocks or bonds. Be creative and keep it interesting but keep it focused on your major.
  • Accounting majors can perhaps offer a fun game on how to “balance a check book” or how to properly budget your monthly income to ensure that all of your bills can be paid on time. There are so many ways to be creative that will circle back to the mission and goal of your organization.

2. Submit Your Program

In order to officially submit your program, you must log into the Rutgers Day site on rutgersday.rutgers.edu and fill out the necessary information on the program form. The submission deadline is February 17, 2023.

Decide on your organization's program before you officially submit your program. Once you officially submit your program, you will receive an automatic confirmation email that confirms the submission.

3. Submit Your Rutgers Day Acknowledgement Form

All organizations are required to fill out and submit the Rutgers Day Acknowledgment Form. This form acknowledges in writing that you will be taking responsibility for your organization on Rutgers Day. If the responsibilities listed on the form are not properly fulfilled, the organization will be contacted.

4. Order Your Supplies

Once your team agrees on a plan for your program, and you need to order your supplies, fill out the supply order form which was sent to you via email.

5. Organize Your Volunteers

On Rutgers Day, each volunteer is expected to personally interact with all members of the community that visit his/her table. Because of this, the day can be exhausting if only a few volunteers are assigned to work the entire day. We do suggest that at least 2 volunteers work your table at all times, perhaps in 2 hour shifts which would result in a minimum of 6 volunteers. This will allow each volunteer to take a break if needed without risking leaving your table empty.

Parking

Parking on campus is free all day. Whether you decide to take the bus or drive, be sure to give yourself plenty of time to park your car and walk over to the RBS tent.

Breakfast/Coffee/Snacks

We want to make sure that you start the day off right. The Undergraduate Programs Department will have complimentary bagels and coffee underneath the RBS tent starting at 8:30 a.m. We will also be providing snacks (granola bars, chips, trail mix) throughout the day.

Your Responsibilities as a Rutgers Day Volunteer

All volunteers are required to engage and interact with members of the community continuously throughout the day. You are expected to encourage people to come visit your table and learn all about your program. Do not just wait for people to come up to you or sit at the table with your arms crossed, looking as if you do not want to be bothered. This is an open and interactive environment and we expect you to be informative, engaging, and welcoming so that the members of our community have a positive view of RBS.
